Susannah Forbes: Hello! Good afternoon, everyone. Thank you so much for joining us.

Susannah Forbes: My name is Susanna Forbes. I am an HR Business Partner at Commonwealth Payroll and HR. And I’m so glad you’re joining us today for this important and timely session on smart employee training.

Susannah Forbes: Leading our phenomenal webinar today is Andrew Pinto and Alex Clark, who are Customer Service Managers from Mineral—our partner in supporting the Commonwealth Compliance Center. And Andrew is actually Commonwealth Payroll and HR’s main point of contact there. As many of you know, training isn’t just about checking boxes. It’s about empowering your team, staying compliant, and driving real growth.

Susannah Forbes: Today, we’re going to take a closer look at how our Commonwealth Compliance Center built-in training platform really can help you streamline employee learning from day one and beyond.

Susannah Forbes: By the end of this session we’re really hoping you’ll walk away with how this tool in the Commonwealth Compliance Center can help you streamline your training efforts, support your employees in a more effective and efficient way, as we know how important training is.

Susannah Forbes: Okay, so I’m going to let Alex drive this presentation. Go ahead.

Alex Clark: Thanks, Susanna. And hi, everyone. Just to reiterate what Susanna said—thank you all for joining. We’ll jump straight into the platform shortly. But I do want to just add: there is a Q&A box or chat function at the bottom. So any questions you have throughout, myself, Andrew, and Susanna can jump in and help answer. But we’ll have time at the end as well to address any of those questions.

Alex Clark: So let’s jump in to the Commonwealth Compliance Center. Once you have logged in…

Alex Clark: To get to the Training Center itself, it’s actually here—kind of self-explanatory—the training tab.

Alex Clark: Once you hover over the training tab, you’ll see there are 3 dropdown options: Course Catalog, My Courses, and Dashboard.

Alex Clark: Before we go into all of this, I just want to stress the importance of adding your employees into Mineral. When you add them in, that will give them access to also take the courses.

Alex Clark: They’ll be able to see the Course Catalog and My Courses. Anything else in the Commonwealth Compliance Center will just be for you—like the Dashboard and other features we won’t go through today.

Alex Clark: But let’s go into the Course Catalog.

Alex Clark: Here you will see all of the courses that are available to you. We call these the core courses. I think there’s around 130+ courses available.

Alex Clark: We break them out into harassment, compliance and legal, even professional development.

Alex Clark: Both you, as the admin, and employees can go in, take a look at all the courses available, and take them on their own accord.

Alex Clark: We’ve got the course name, and along here the question mark, which shows the course description.

Alex Clark: If we click in that, it will give us a brief verbiage about it, but also the duration of the course—whether it’s 60 minutes, 30, 15—they really do vary.

Alex Clark: It will also add here if there are any other language translations of the training course. If there are any, we’ll add it toward the end of the duration.

Alex Clark: If we go back to Training > My Courses, this is specific now to the individual who is logged into Mineral. So anything you have started to take—just out of interest or something that has been assigned to you by a training track.

Alex Clark: You can see the start date, due date, and your status.

Alex Clark: Then there are 3 boxes here. One gives you the course information, one to start taking the course, and then the grayed-out graduation cap becomes clickable once you’ve completed and passed the course.

Alex Clark: So, as I mentioned before, your employees will only have access to those 2 sections of the platform.

Alex Clark: Now the dashboard—the fun part. As client admins, you can create what we call training tracks.

Alex Clark: Training tracks allow you to create or send information to your employees, departments, or the whole company and tell them they need to take a subset group of courses.

Alex Clark: It’s very easy to create this training track. Up here in the top right-hand corner, you’ll see “Actions.”

Alex Clark: We’ll go to “Create New Track.” You’ll have your company name here.

Alex Clark: The completion date is automatically set to 6 months. You can change this. We’ll just set this one for the end of August.

Alex Clark: We’ll name it “CCC” and use today’s date for the training track name.

Alex Clark: Next, you’ll see all the courses available to you—those core courses—broken into different categories.

Alex Clark: It also has subcategories, like cybersecurity or customer service.

Alex Clark: Then you want to click on the course—either the plus or anywhere on the row—to add the course to that track.

Alex Clark: You can mix and match. It doesn’t have to be all from the same category.

Alex Clark: So if we just click through here, we see we have 7 courses for a group of people to take.

Alex Clark: At this point, I recommend checking and removing any courses not applicable.

Alex Clark: We’ll say these 5 are correct, and they have until the end of August to complete them.

Alex Clark: The next stage shows all your employees within the Commonwealth Compliance Center.

Alex Clark: You can add everyone by default or reassign by department or job title.

Alex Clark: While not mandatory to add job titles or departments when adding employees, it really helps when filtering for training assignments.

Alex Clark: For now, we’ll do it by job. Let’s say the singer and guitarist need to take these trainings.

Alex Clark: As you can see, when checking boxes, the status changes from “not assigned” to “assigned.”

Alex Clark: If you don’t yet have employees in the system, you can import them as track assignees here—download the template, upload the file.

Alex Clark: I’ll show another way to add employees later as well.

Alex Clark: Now, moving on. This section is about communication.

Alex Clark: There’s a welcome note sent when we save the track, plus optional last-month, last-week, and last-day reminders.

Alex Clark: The last-day reminder is mandatory—we want at least one notification to go out.

Alex Clark: You can customize the welcome note. For this, let’s say: “Welcome! There’s a new company employee training.”

Alex Clark: Previewing the email shows the customized section and links to access training.

Alex Clark: Once we save the track, that welcome note will go out right away.

Alex Clark: They’ll have until August 31st to complete their training.

Alex Clark: You can open the track to see the 3 employees, the 5 assigned courses, the end date, and statuses like not started, in progress, or overdue.

Alex Clark: Bulk options let you adjust the track settings, add users, delete or clone the track, and send reminders.

Alex Clark: Individual options include sending one-off reminder emails or removing users.

Alex Clark: Now we’ll explore reporting. There’s a Track Report you can download as a CSV, showing all data visible on the screen.

Alex Clark: There’s also a dashboard report—great visuals on registered users, courses assigned, and completions.

Alex Clark: You can view and download training certificates from here too.

Alex Clark: Pie charts show assigned vs. self-initiated training—great conversation starters with your team.

Alex Clark: Under “Actions” you’ll find Custom Course Management. You can upload your own SCORM or AICC files.

Alex Clark: Fill in all required info—duration, category, description—and upload the file.

Alex Clark: You can mix custom and core content in your training tracks.

Alex Clark: User Activity Report lets you see who’s completed what. You can generate and email this report too.

Alex Clark: There’s also an optional feature to restrict access to specific courses using “Set Company Course List.” Use carefully.

Alex Clark: If restricted, employees will only see selected courses. You can always remove restrictions later.

Alex Clark: Next is Course Selection Guidance. This is a one-time meeting with an LMS expert to discuss strategy, goals, and curriculum. Highly recommended.

Alex Clark: Now, let’s check for questions… None yet, but feel free to send them through.

Alex Clark: I’ll show where you can find help content.

Alex Clark: Under Help > Help Topics > Training, there are quick reference guides, short videos, user guides, and FAQs.

Alex Clark: Lastly, adding employees: You can do this from your Admin settings.

Alex Clark: Hover over your avatar and go to Users to add one at a time, or Company to upload in bulk.

Alex Clark: The bulk upload uses a downloadable template. Once uploaded, employees get a welcome email to access training.

Alex Clark: I also want to show the full course catalog. There are 130+ core courses available.

Alex Clark: Premium courses like Communication, Wellness, Microsoft Skills, etc., are also available. Contact Susanna or the team for more info.
